At IWGIA, we are looking for a committed and structured Admin and Accounts Assistant to support our Finance and Operations team. In this role, you will work closely with the Finance Assistant, Controller, and Head of Finance & Operations to ensure the smooth and efficient running of key financial and administrative functions and processes.

This is a varied role where you will gain experience across finance, administration, procurement, and internal systems support. You’ll be part of a small, skilled team in a professional yet informal work environment — and your contribution will help ensure that our internal operations match the high standards and requirements of our external partners and donors.

Your primary tasks

You’ll be supporting a wide range of important day-to-day functions that are essential to keeping our organization running efficiently. Your tasks will include:

  • Reviewing and performing quality assurance on staff time registration.
  • Assisting in monitoring time registration against allocated time budgets to optimize salary coverage.
  • Reviewing and verifying travel expenses and travel accounts, and reconciling transactions made with our Corporate Eurocards.
  • Assisting in implementing a new system for expense handling.
  • Updating and maintaining records of income from members and individual donors.
  • Collaborating with the Finance Assistant and the Controller to follow up on finance tasks.
  • Assisting IWGIA’s partners in Latin America with financial and compliance grant management in close collaboration with IWGIA’s controller, including reviewing financial reports in Spanish, and quality control of relevant material.
  • Handling smaller procurement and tender-related tasks, including contacting suppliers and supporting purchasing processes.
  • Assisting with minor IT-related tasks and providing practical support across the organization.

What we expect

We’re looking for someone who is proactive, structured, and eager to contribute to our team. Ideally, you:

  • Have good written and spoken Spanish and English skills.
  • Are a confident Excel user.
  • Enjoy working with numbers and data and have strong analytical skills and attention to detail.
  • Can work independently and manage time well.
  • Are a team player who values collaboration and contributes to a positive working environment.
  • Can take on minor IT-related support tasks.
  • Are persistent and take ownership of your tasks from start to finish.
  • Are service-minded, outgoing, and proactive in your approach to work.
  • Have interest in controlling and financial compliance related to the NGO sector.
  • Have relevant education and experience in finance, accounting, or administration.

What we offer 

You will become part of a small, friendly, and experienced Finance and Operations Team consisting of a Finance Assistant and a Controller.

IWGIA does not cover the cost to relocate. You must have a work permit in Denmark.
